These Terms and Conditions (“Terms”) govern access to and use of the Candibase platform (“Candibase”, “we”, “us”, or “our”), including all websites, services, tools, and features offered. Candibase is an online recruitment platform that connects employers and candidates.

By accessing or using Candibase, you agree to be bound by these Terms. If you do not agree, you may not use the platform.


 

1. Definitions

  • Platform: The Candibase website and all related systems, tools, and services.

  • Employer: Any individual, business, recruiter, or organisation registering to post jobs or search candidates.

  • Candidate: Any individual registering to create a profile, upload a CV, or apply for jobs.

  • Job Post Package: A paid package purchased by an Employer that allows job posting and access to matched candidates.

  • Candidate Database Access: Access to candidate profiles matched to an Employer’s job title.

  • Content: All information, data, CVs, profiles, messages, and materials uploaded to the platform.


2. Platform Role & Disclaimer

Candibase acts solely as a technology platform facilitating connections between Employers and Candidates. Candibase is not an employment agency and does not guarantee employment, interviews, or hiring outcomes.


 

PART A: EMPLOYER TERMS

3. Employer Registration & Eligibility

3.1 Employers must provide accurate, current, and complete registration information.

3.2 Employers are responsible for maintaining the confidentiality of their account credentials.

3.3 Candibase reserves the right to approve, suspend, or terminate Employer accounts at its discretion.

 


4. Job Post Packages & Payments

4.1 Employers must purchase a Job Post Package to post jobs and access matched candidates.

4.2 All prices are displayed in South African Rand (ZAR) unless otherwise stated.

4.3 Payments are non-refundable unless required by law.

4.4 Package features and access remain valid only for the duration of the purchased package.

 


5. Candidate Database Access (Job-Based Matching)

5.1 Candidate Database Access is job-based, not unrestricted.

5.2 When an Employer posts a job, the candidate search page is automatically prefilled using the job title.

5.3 Employers may refine candidate results using available filters such as location, experience, skills, and availability.

5.4 Candibase does not provide open access to all candidate profiles.

 


6. CV Viewing, Downloading & Printing

6.1 Employers may view, download, and print candidate CVs strictly for recruitment and internal evaluation purposes.

6.2 CVs may not be sold, shared publicly, reused for marketing, or stored for unrelated purposes.

6.3 Excessive or abusive downloading may result in access suspension.

 


7. Communication & Interviews

7.1 Employers may contact candidates through platform messaging, WhatsApp, email, or provided contact details.

7.2 Interview scheduling tools, including Zoom integration, are provided for convenience only.

 


8. Candidate Comments, Notes & Reviews

8.1 Employers may leave private internal comments and reviews on candidate profiles.

8.2 Such notes are visible only to the Employer and authorised users on the account.

8.3 Employers must ensure comments are lawful, professional, and non-discriminatory.

 


9. Fair Usage & Prohibited Conduct

Employers may not:

  • Harvest or scrape candidate data

  • Use candidate data for marketing or non-recruitment purposes

  • Share login credentials

  • Post misleading or unlawful job advertisements

Candibase may suspend or terminate access for violations.

 


PART B: CANDIDATE TERMS

10. Free Registration & Profile Creation

10.1 Registration and profile creation on Candibase is free for Candidates.

10.2 Candidates may create a profile, upload a CV, and apply for jobs without payment.

10.3 Candidates are responsible for the accuracy of information provided.

 


11. Profile Visibility & Matching

11.1 Candidate profiles are visible to registered Employers when matched to relevant job titles.

11.2 Visibility depends on profile completeness and relevance to job postings.

 


12. Employer Contact

12.1 Employers may contact Candidates via messaging, WhatsApp, or provided contact details.

12.2 Candidates choose what contact information to display.

 


13. CV Usage & Data Rights

13.1 Employers may download CVs solely for recruitment purposes.

13.2 Candidate data may not be used for marketing or sold to third parties.

13.3 Candidates may update or delete their profiles at any time.

 


PART C: GENERAL TERMS

14. Data Protection & Privacy

Candibase processes personal data in accordance with the Protection of Personal Information Act (POPIA) and applicable international data protection laws. Please refer to the Candibase Privacy Policy for details.

 


15. Intellectual Property

All platform content, branding, and systems are the intellectual property of Candibase. Users may not copy, reproduce, or exploit platform content without permission.

 


16. Limitation of Liability

Candibase shall not be liable for:

  • Hiring decisions or employment outcomes

  • Accuracy of Employer or Candidate information

  • Losses arising from platform use

Use of the platform is at your own risk.

 


17. Termination

Candibase may suspend or terminate accounts for violations of these Terms, misuse, or unlawful activity.

 


18. Amendments

Candibase reserves the right to update these Terms at any time. Continued use of the platform constitutes acceptance of updated Terms.

 


19. Governing Law

These Terms are governed by the laws of the Republic of South Africa.
